This Privacy Policy describes how Atelier SW LLC, operating under the trade name Polis (“Polis,” “we,” “us,” or “our”), collects, uses, discloses, and otherwise handles information when you use our website, mobile application, and related services (collectively, the “Services”).

By using the Services, you acknowledge the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Services.

1. Information We Collect

1.1 Information You Provide Directly

We may collect information you provide directly to us, including:

  • Account information, such as your name, email address, login credentials, and account preferences;
  • Survey responses and preference information, such as the values, issues, priorities, and other information you provide so that we can personalize the Services;
  • Purchase and transaction information, such as records of passes, credits, purchases, and related customer support inquiries;
  • Communications, such as messages, feedback, support requests, and other information you send to us;
  • User-generated inputs and prompts, including text you submit to generate, unlock, or refine content through the Services.

1.2 Information Collected Automatically

When you use the Services, we and our vendors may automatically collect information such as:

  • Log data, including IP address, browser type, device identifiers, operating system, app version, referring URLs, pages viewed, and dates/times of access;
  • Usage data, including interactions with the Services, features used, passes or credits used, content viewed, clicks, session information, and general activity patterns;
  • Device data, including device type, operating system version, language settings, mobile network information, and approximate location inferred from IP address;
  • Cookie and similar technology data, including information collected through cookies, pixels, SDKs, tags, and similar technologies used for functionality, analytics, measurement, personalization, and advertising.

1.3 Information from Third Parties

We may receive information from third parties, including:

  • authentication providers and social login providers;
  • payment processors;
  • analytics providers;
  • advertising and measurement partners;
  • public, commercial, or other third-party election and civic-information sources; and
  • service providers and business partners that help us operate the Services.

2. How We Use Information

We may use the information we collect for the following purposes:

  • to provide, operate, maintain, and improve the Services;
  • to create and manage your account;
  • to personalize ballot guides, research outputs, and other content;
  • to process purchases, payments, passes, credits, and related transactions;
  • to generate AI-assisted summaries, comparisons, and related outputs;
  • to send transactional messages, confirmations, updates, receipts, security alerts, and support communications;
  • to analyze usage, measure performance, troubleshoot issues, and improve the Services;
  • to develop, train, test, evaluate, and improve our systems, models, workflows, and product features, subject to applicable law and contractual commitments;
  • to detect, investigate, prevent, and address fraud, abuse, security incidents, and other harmful or unlawful activity;
  • to personalize, measure, and support advertising, marketing, and promotional activities;
  • to comply with legal obligations and enforce our terms, policies, and rights.

3. Political and Preference-Related Information

Polis is designed to provide personalized civic information. To do that, we may collect and use information about your issue priorities, civic preferences, and similar preference-related information that you choose to provide.

We use that information to provide and improve the Services, including generating personalized ballot guides, comparisons, and alignment-related outputs.

We do not sell your personal information for money. However, as described below, we may use third-party analytics, advertising, measurement, and related technologies in connection with the Services.

4. AI and Model Providers

Polis uses Z.AI as its third-party artificial-intelligence provider for candidate research, ballot parsing, and personalized voter-guide analysis. Before Polis sends personal information to Z.AI, the Services present a separate disclosure and ask for your explicit permission.

If you approve that disclosure, the information sent to Z.AI may include:

  • issue priorities and policy preferences;
  • political identity and free-text values;
  • ballot, race, candidate, and measure details; and
  • uploaded or pasted ballot content.

Polis records the disclosure version and the time you granted consent. You may decline and continue using non-AI ballot browsing and source links. You may also revoke consent from the Account page; future AI requests will remain blocked until you approve the current disclosure again.

We may use user inputs and outputs internally to operate, maintain, debug, evaluate, and improve the Services, subject to applicable law and our contractual commitments.

5. Cookies, Analytics, Advertising, and Similar Technologies

We and our vendors may use cookies, pixels, SDKs, tags, local storage, and similar technologies to:

  • remember user settings and preferences;
  • keep you signed in;
  • understand how users interact with the Services;
  • measure performance and engagement;
  • detect fraud and protect the Services;
  • personalize content and experiences;
  • deliver, measure, and improve advertising and marketing.

Depending on how the Services evolve, we may work with third-party analytics providers, advertising networks, ad exchanges, social-media platforms, and measurement partners that collect information over time and across different websites, apps, devices, and services.

You can usually control cookies and similar technologies through your browser or device settings, though doing so may affect the functionality of the Services.

6. How We Disclose Information

We may disclose information as follows:

6.1 Service Providers and Contractors

We may disclose information to vendors, service providers, contractors, and processors that perform services on our behalf, such as providers of hosting, infrastructure, databases, analytics, customer support, payments, authentication, communications, advertising, fraud prevention, and AI/model processing.

6.2 Advertising, Analytics, and Measurement Partners

We may disclose information to third-party analytics, advertising, attribution, and measurement partners in connection with operating, marketing, monetizing, and improving the Services.

6.3 Public, Legal, and Safety Reasons

We may disclose information if we believe doing so is reasonably necessary to:

  • comply with law, regulation, legal process, or governmental request;
  • enforce our Terms or other agreements;
  • detect, investigate, or prevent fraud, security incidents, or other unlawful activity;
  • protect the rights, property, or safety of Polis, our users, or others.

6.4 Business Transfers

We may disclose or transfer information in connection with an actual or proposed merger, acquisition, financing, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider.

6.5 With Your Direction or Consent

We may disclose information for other purposes at your direction or with your consent.

7. Data Retention

We retain information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to:

  • provide the Services;
  • maintain accounts and transaction records;
  • honor passes, credits, purchases, and customer support needs;
  • comply with legal, tax, accounting, and reporting obligations;
  • resolve disputes and enforce agreements;
  • detect and prevent fraud, abuse, and security incidents.

Retention periods may vary depending on the nature of the information, the context in which it was collected, and legal or operational requirements.

When you delete your account in the Services, Polis deletes the authentication account and user-linked application records from the active database. Polis also attempts to delete the associated Stripe customer profile. Stripe or Polis may retain transaction, fraud-prevention, tax, accounting, dispute, security, or backup records where permitted or required by law.

8. Security

We use reasonable technical, administrative, and organizational safeguards designed to protect information from unauthorized access, loss, misuse, alteration, or disclosure. However, no method of transmission over the Internet and no method of storage is completely secure, and we cannot guarantee absolute security.

9. Your Choices and Rights

9.1 Account Information

You may update certain account information through your account settings, if available.

9.2 Marketing and Promotional Communications

You may opt out of promotional emails by using the unsubscribe link in those messages. You may still receive transactional or account-related communications.

9.3 Cookies and Similar Technologies

You may be able to limit cookies and similar technologies through your browser or device settings. Some browsers also offer privacy controls relating to tracking technologies.

9.4 Account Deletion and Deletion Requests

You may permanently delete your account from the Account page in the Services. Account deletion removes your login and user-linked Polis data, including saved profiles, ballots, guides, credits, and AI-consent records. Unused credits are forfeited when the account is deleted.

You may also request deletion of certain personal information or ask questions about retained records by contacting us at contact@getpolis.vote. We may need to retain certain information as permitted or required by law.

9.5 U.S. State Privacy Rights

Depending on where you live, you may have rights under applicable state privacy law, such as the right to know, access, correct, delete, or obtain a copy of certain personal information, and the right to appeal certain decisions we make regarding your privacy requests.

Some state laws may also give you the right to opt out of certain processing activities, such as targeted advertising, certain profiling, or certain sales or sharing of personal data, where applicable.

10. California Privacy Disclosures

If you are a California resident, California law may provide you with specific rights regarding your personal information, subject to exceptions.

In the preceding 12 months, depending on how you used the Services, we may have collected the following categories of personal information:

  • identifiers and contact information;
  • customer records and transaction information;
  • internet or electronic network activity information;
  • geolocation information derived from IP address or device signals;
  • commercial information;
  • user-submitted content and communications;
  • inferences and personalization-related information;
  • other information that may relate to or be reasonably associated with you.

We may collect this information from you directly, automatically from your devices and browsers, from our vendors and partners, from payment and authentication providers, from advertising and analytics providers, and from public or third-party civic-information sources.

We may use and disclose these categories of information for the business and commercial purposes described in this Privacy Policy, including providing the Services, processing transactions, analytics, security, personalization, advertising, marketing, AI processing, legal compliance, and product improvement.

We do not sell personal information for money. Depending on how the Services are configured and the technologies in use, California law may treat certain disclosures involving advertising or analytics technologies as “sharing” or as use for cross-context behavioral advertising. You may have the right to opt out of such activities where required by law.

California residents may also have rights to know, access, correct, or delete personal information, and to limit certain uses where required by law. To submit a request, contact contact@getpolis.vote.

11. Children’s Privacy

The Services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If we learn that we have collected personal information from a child under 13 without appropriate authorization, we will take steps to delete that information.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice as required by law, such as by posting the updated policy, updating the “Last Updated” date, or providing other notice through the Services.
